Payment Management in AI version
2.1 .....
BRIEF: In AI versions 2.0 and below,
any payments received were automatically applied to the oldest outstanding
balance. For most clients this made sense. However, for those
of you who bill hospitals directly this could cause problems since your
hospitals frequently would pay specific invoices with their payments.
Also, for invoices in dispute this caused problems since there was no way
to keep a particular invoice’s status at ‘unpaid’ while paying other invoices.
AI 2.1 introduces sophisticated new features
to allow you more control and flexibility in applying payments to invoices.
In addition, we have changed the rules governing when payments are assigned
to invoices. As a result, the way Animal Intelligence works for you
may differ significantly from how it worked in the past.
Payment processing behavior in AI 2.1 is virtually
identical for both client invoices and hospital invoices. Therefore, to
simplify writing, from this point forward when we say “client,” what we
describe applies equally to clients or hospitals unless we specify otherwise.
This document describes each feature in general
and discusses how and why it may be used. Detailed instructions for
each new feature’s controls can be found in the AI 2.1 Supplement.
Production Tracking .....
BRIEF: Tracking doctor production
is an essential part of any veterinary business. Doctors may have
a multitude of relationships with a particular practice, from employee
to independent contractor. Furthermore, production can be based on
fees, charges or income received. Animal Intelligence (AI) is designed
to handle all of these relationships in order to provide you with just
the information you need.
The AI Report Generator provides the capability
of creating custom reports that display the information desired in the
format requested.
The heart of the production tracking system is
the “line item”. Each item on a posted invoice contains critical
information that is used to create and run reports. This document
contains a table which lists those data (fields) that are most commonly
used in production tracking.
