Frequently Asked Questions - FAXING

Adding page numbers to your fax:
Q:  I would like to print the page numbers on my faxes. How do I do this?
A:  In the fax server header section you can add the following information:
$I  $D $T Page: $P
The Page: $P will put a page number on every faxed page.

Error 6006:
Q:  I am getting an error -6006 in my fax server utility. What does that mean?
A:  The -6006 error is the 'bad response from modem' error, which means that the modem returned something we didn't expect (like 'ERROR' or garbage).

Error 8067:
Q:  I am getting an error 8067 in my AI fax server. What does that mean?
A:  An error 8067 is a “no dial tone” error. This means that your fax modem did not detect a dial tone to get an outside phone connection. Reset your modem, or reboot the computer if it is an internal modem.

Error 8074:
Q:  When faxing I am getting an error 8074. What does that mean?
A:  This error means "remote fax did not answer." If this continues, contact the fax recipient and have them check their fax machine.

Error 8061:
Q:  I am getting an error 8061 when trying to fax using the AI fax server utility. What does it mean?
A:  8061 - bad response from modem.
This is a generic error.  Try restarting the fax server and clicking the "monitor" button.  If error is encountered again, restart the computer.

Error 8068:
Q:  I am getting an error 8068 when trying to fax using the AI fax server utility. What does it mean?
A:  This is probably related to a particular recipient's fax machine.  Retry the particular fax and monitor it to make sure it goes through.  If it does not, but other faxes go through okay, then you may want to contact the recipient of the fax to inquire about the status of the recipient's fax machine.

No fax in fax server log:
Q:  Why do I not see my faxes in the fax server log?
A:  Make sure you click the Monitor button when you start the AI fax server. This will start the process of monitoring your system for faxes to be sent.

Long distance faxes:
Q:  Why do my long distance faxes not go through?
A:  Make sure your AI Configuration Default dial format has a 1, plus any other codes such a 9 to get an outside line. Once this is set up and you add a new client, vet, or hospital, the system will automatically add the specified format to the phone number. However, any old records in your system will have to modified manually.

Macro variables for vet fax number:
Q:  Is there a macro variable for a veterinarian fax number?
A:  Yes, indeed there is. Actually you have a total of 9. They are as follows:
VETPHONE1
VETPHONE2
VETPHONE3
VETPHONE4
VETPHONE5
VETPHONE6
VETPHONE7
VETPHONE8
VETPHONE9
In order for you to know which one of these variables is assigned to the fax number you need to go into your picklist maintenance and look at a list called "phone field labels". It should contain the list of descriptions you use to identify phones, such as Home, Work, Fax, Cellular, etc.
If you do not already have one for Fax, you will have to add it. Note the number that gets assigned in the "Link" column. That number refers to the number at the end of the phone variable, example for FAX it says 3, you would use the variable VETPHONE3.
If you already have Fax in your picklist, just look for the link number to determine what variable to use.

Fax server on network server:
Q:  Can I install and run the AI fax server on our network server?
A:  You can, but we do not recommend it. The reason for this is that someone must monitor your fax server regularly the same as any other office equipment, for failure or maintenance. This would mean someone has to have proper access to your network server. Usually a network server is kept out of sight in a secure room, which makes this task rather difficult. Hence, our recommendation is to keep the AI fax server on a convenient workstation accessible to everyone.

Faxing an invoice:
Q:  Can I fax an invoice using the fax server?
A:  No, faxing only works from the AI Communications Center.

Ability to fax from a new workstation:
Q:  I have a new workstation and need to be able to fax from it. What do I need to set up in AI?
A:  Open up Windows Explorer. Go to Program files\AIS. Locate the faxinst.exe and run it by double clicking. This will install the "print to fax" icon in your printer settings window for a Windows 98 machine.

Pending faxes:
Q:  All my faxes from last night did not go out. They are showing a status of pending. What can I do?
A:  Use the phone dialer to test your modem.  Shut down the fax server and restart it.  Click Class Type--Class 1, and then the monitor button.  The fax server should start dialing and sending.

Fax server set up:
Q:  My fax server is installed, but it is not faxing yet. What do I need to do to make it work?
A:  You should have one workstation designated to be your fax server. Do not start another copy of fax server on another machine. Also, the phone line you are using for your fax server workstation cannot be shared with another device such as a credit card machine or another fax machine.
