Frequently Asked Questions - PRINTERS & PRINTING
Printing too many pages:
Q: New
label printer was installed but when we print in AI the printer dialog
shows page after page after page being sent to the printer and if it is
not cancelled blank labels begin to be rolled out the printer?
A: Delete
all print jobs. Go to the Report Generator, locate the label that
was printed and reset the label and margin sizes so they do not exceed
the paper size for either width or height. If the Eltron paper size
is width: 3.00. The label width on the label tab plus the right and
left margin on the paper tab should not exceed 3 inches. The same
is true for the height. For the Dymo printer which prints sideways,
the paper size in height should not be exceeded by the label width
plus the right and left margin.
No successful windows test page:
Q: I
cannot print a Windows test page using my NT workstation and an Eltron
printer. Why?
A: We
cannot support an AI printing question if you cannot print a windows test
page. If you encounter this situation, you must contact your hardware/network
person.
New printer setup:
Q: My
new label printer will not print at all, not even a test page. Why?
A: Even
though we require that you are able to print a test page before calling
support for AI printing issues, we can tell you to check for loose cables.
Since this is a new installation, there is a good chance that the cables
are not plugged in correctly. If you find this not to be the problem, contact
your hardware/network vendor.
Information on pharmacy label:
Q: Why
is our pharmacy label not printing the doctor or date?
A: Something
was probably changed if it was previously printing. The macro or
the margins in the report setup are likely. Was a line added in the
macro? You may try to adjust the top or bottom margin on the paper
tab in the report to accommodate one more line but this can be tricky and
cause continuous scrolling. Call Tech support if either of these adjustments
fails to fix the problem.
Documents and labels are printing squished:
Q: Today
my documents and labels are printing squished on the top half of the paper?
A: This
has been known to occur as a result of changing the setting in File/Configuration/Settings
to centimeters. Change it back to inches, exit and restart AI.
Margin setting for Eltron labels:
Q: I
just set up my Eltron Printer and the margins are printing incorrectly.
What are the correct settings for this printer?
A: The
label size is 3.00x2.00. The margins are as follows on the paper tab: top
.20, bottom .02, right .02, left .20. The label tab is set as follows:
Width 2.5 and Height 1.75.
Printer prints jibberish:
Q: We
had a problem with a stuck label. Now that it is fixed out Eltron
printer prints jibberish?
A: The
printer needs to be reset. If turning the printer off and on it will
need to be reset but rebooting the workstation it is attached to. If it
is on a print server, contact your network tech about how to reset the
print server.
Changing printers, changing paper settings:
Q: I
changed label printers, and now my label comes out blank, why?
A: The
settings must be changed along with the printer. In your label report,
click on paper, and then select the correct printer name from the drop
down list. Next, from the Size drop down list select your new label size.
Save your settings. You may have to adjust margins until the label centers
correctly.
Label for Other Labels List:
Q: I
created a label macro but it does not appear on the other labels list?
A: Creating
the macro is the first step; the second step is to create a report in Custom
Reports then click the single label check box on the Paper tab. The
latter step makes it appear on the other labels list in the printing menu.
The best way to create a label report is to modify a current label report
and use SAVE AS to give it a different name.
Label printer not printing from all workstations:
Q: My
label printer is printing fine from one workstation, but not another, why?
A: When
a printer is configured on the network, and installed on multiple workstations,
it needs to be named the same on all workstations. i.e. Label printer.
This is usually a task performed by your network/hardware person.
Printing portrait versus landscape:
Q: My
letter that I print from the communications center is printing landscape.
I change the macro from landscape to portrait and it prints fine for the
rest of the day then the next day it is printing landscape again.
How can I make this a permanent setting?
A: Check
the printer properties for that printer on that workstation by choosing
Windows Start/Settings/Printers. Do a right click on the correct printer
icon and select Properties and then the Paper tab. Change the orientation
to portrait and click Apply. This should prevent the macro from being
reset to a landscape orientation when AI is started again.
Cross-reference table for mixed operating system environment:
Q: Why
do I have a dialog box requesting a paper size pop up each time I print
from my workstation?
A: In
AI printer names and paper size descriptions need to be the same on all
workstations. Printers can be renamed but printer drivers for different
printers and different operating systems can have various descriptions
for a letter size paper. If you have various workstations that have
a mix of operating systems such as WIN95 or 98, Win2000 and NT, each will
refer to this paper size differently. The driver for different makes
of printers can present the same problem. The solution is to create a cross-reference
table using picklist 120 in AI. Download the white paper on Paper
size cross-reference from the web site.
Printing Avery Labels for vets:
Q: How
do I print mailing labels so that I can send a postcard/letter to my referring
veterinarians?
A: AI
has a standard report to do this job. It is a label report called “LABELS
3/1”. This report uses standard Avery 5160 label sheets. Be sure you check
that your veterinarian table and associated macro is selected. This same
report can also be used for hospitals, if you change the table and associated
macro.
Printing the medical record for extended period of time:
Q: How
do I print a medical record for an extended period of time?
A: Go
to the record that is to be printed and search for the date range desired.
When this is visible on the screen, go to the communications center (F5),
click Create and choose the macro Record from the Letters folder.
A document will appear with a heading. “Medical Record for patient name”
followed by client and patient information and the record detail.
Click the printer icon to print.
Printer default message:
Q: Every
time I print, a message box that says “Setting printer to default” appears.
Is there a way to prevent this?
A: Each
report in AI must have a printer selected in the printer assignment box
on the paper tab. If this is not done or if the printer that is selected
is named differently than it is on the workstation being used, this message
will appear. Make sure that printers are named the exact same on
all workstations and that this printer is visible in the printer assignment
box for each report printed.
